The customer gets the update, nobody types it

A customer hands in a job and waits to hear what is happening with it. Instead of an employee opening WhatsApp and writing every time, the message goes out on its own the moment the stage changes in the system.

Job stage. WhatsApp.

Systems involved: The job management system and WhatsApp

The full story

  1. Where the day starts

A customer hands in a job: a repair, a custom order, something to prepare for pickup. The job is recorded in your system with its current stage, and the customer goes home.

  2. Where it gets stuck

As the job moves forward, the employee updates the stage in the system. But the customer cannot see the system. So the same employee opens WhatsApp, finds the customer, and writes what changed. With twenty open jobs, some messages go out late, some never go out, and then the customer calls to ask.

  3. What Flow Vector connects

Flow Vector sends the customer a WhatsApp message the moment the stage changes: received, in progress, ready for pickup. The stage is entered only once, in the job system. The customer knows where things stand, and the business phone stops ringing with questions that already have an answer.

  4. What stays with a person

A complaint, an unusual request, or a question that needs a decision stays with the employee handling the job. When a customer replies to the message, the conversation continues with a person. An automatic message informs. It does not replace a conversation.
